Job description: The University Counseling Services Center is currently seeking a detail-oriented and proactive Administrative Assistant to support operational functions and coordinate counseling service activities and materials.The successful candidate will play a crucial role in supporting the smooth operation of the Counseling Services Center by managing administrative tasks, maintaining records, and assisting with various center activities.Job Responsibilities * Administrative support:
- provide general administrative support to the Counseling Service staff, including scheduling appointments, managing calendars, and handling correspondence.
- Assist in preparing presentations and other resources for the University Counseling Service.
- Provide administrative support to counselors and other staff members as needed.
- Client Services and Appointment Management:
- Greet and assist students, faculty and staff visiting the Counseling Services Center.
- Schedule and confirm counseling appointments and manage client intake forms.
- Maintain confidentiality and privacy of client information in accordance with University policies, ethical and legal requirements.
- Maintain non-confidential system-related records in an organized manner.
- Communication and Coordination:
- Serve as a liaison between Counseling Services staff, other university departments and external organizations.
- Coordinate meetings, workshops, and events related to the Counseling Service’s programs and services.
- Communicate information about Counseling Services resources and policies to the American University community.
- Answer phone calls and direct inquiries to the appropriate staff members.
- Respond promptly to general email inquiries with professionalism and accuracy.
- Data Management and Reporting:
- Compile and maintain statistical data related to client appointments, services provided and outcomes.
- Assist in preparing reports for internal use.
- Ensure accurate and up-to-date information in the center’s database.
- Regularly update client records and appointment schedules.
- Office Management:
- Order and maintain office supplies and equipment, ensure an organized work environment.
Qualifications and Skills Required
- Bachelor’s degree
- Proven experience in administrative support roles, preferably in a university or healthcare setting.
- Strong computer skills, including proficiency with Microsoft Office Suite and electronic health record systems.
- Knowledge of mental health issues and counseling services is preferred.
- Excellent communication skills, both written and verbal, with a customer service-oriented approach.
- Awareness and knowledge of UAE culture.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational and multitasking abilities, with attention to detail and accuracy.
